“The MEE module will give meaning to our activity, make our work more visible, make it possible to track our actions and showcase our activity.”

The beginnings of the PDP unit at GIMS

When padoa contacted us, we were at the very beginning of designing our job retention unit. So we took advantage of the alignment of the stars and postponed opening the unit to partners and physicians.

In June 2022, we entered the construction phase of our PDP unit. At first, the project was disconnected from padoa. We were about to build Excel spreadsheets to monitor employees. In parallel, we were thinking about the internal processes to put in place. In particular, we produced a flowchart showing how the unit works. It covered all of its steps, from early identification through to follow-up, including the job retention plan.

“When padoa contacted us to take part in the beta test starting in February 2023, we saw it as a tremendous opportunity. We were able to co-build the module together while having a functional foundation to test our unit and create our processes.”

The beta test and co-construction with padoa

The beta test lasted 5 months, and during that time we were able to contribute ideas and felt listened to. We worked on early identification, the criteria that direct employees to the unit, and the handling of the employee. This time also allowed us to think about optimising our organisation and data sharing. We had regular exchanges with other services that were also part of the beta test, which allowed us to share best practices. It was reassuring to know that some of our practices were the same in other services, and even more reassuring to know that some services were adopting our best practices, and vice versa.

“I found this beta test very pleasant and productive. We had contacts who mastered the PDP subject. In addition, the padoa teams were always very responsive, with solutions found very quickly and adapted to our needs.”

Setting up the PDP unit at GIMS with the padoa software

The process used at GIMS is aligned with Dr Jabes’ method, the April 2022 instruction and the recommendations of the HAS (French National Authority for Health). It starts with early identification via the IRDP (Occupational Disinsertion Risk Index). Depending on the identification criteria, different job retention actions are mobilised. If the case is judged to be complex, a referral is made to the unit using the padoa referral form. Access to the medical file naturally differs depending on the profile of the professional involved in the unit. All of this is traced through consent in padoa.

“At first, we weren’t sure that the unit designed by padoa would meet our needs 100%. After reflection, the method of first opening a plan and then making a referral to the unit seems entirely appropriate to us.”

The plan only makes sense if we give ourselves the means to follow it, to trace the resources mobilised and to know what becomes of the employee.

Advice for other services setting up a PDP unit

“For services that don’t have suitable software, I think this work will be very tedious. In my view, to be effective at job retention, you need software that is modelled on the Jabes methodology and the instruction.”

Next, it is important to clearly identify the role of each member of the unit. Processes must be written down for early identification, referral to the unit, setting up a specialised consultation and scheduling the MEE action plan. Each professional must complete the information in padoa for their part, which makes it possible to clearly identify each person’s added value within the unit.

First, it is important to open the MEE foundation module gradually. To begin with, each physician discovers all of its features and understands how to trigger a plan; then, for example 15 days later, physicians are given the possibility to make referrals to the unit. You need to experiment with the MEE module, make it your own and integrate it into your practice. PDP should not be siloed. There is a learning period of a few weeks to get used to the filters and dashboards, but it’s easy.

“The MEE module will give meaning to our activity, without changing anything about the objectives of our practices. The tool will make our work more visible, make it possible to track the actions mobilised and the results obtained, and showcase our activity.”
